Overview

Kapinote turns live spoken conversations into structured local meeting records containing time-stamped transcript segments, editable AI notes, and verifiable citations. Because it captures audio directly on your Mac, it works seamlessly with any meeting software and in-person discussions without requiring an invited bot.

The core workflow

1. Capture: Start a recording session in Kapinote whenever a call or in-person conversation begins.
2. Transcribe: Transcribe on-device with Apple Speech or local Qwen3-ASR, or connect a supported high-accuracy cloud speech provider.
3. Summarize: Connect an AI model to automatically synthesize the transcript into structured notes, decisions, and action items.
4. Review: Polish titles and notes, copy clean Markdown, or click any quote to jump directly to its spoken timestamp in the transcript.
5. Reuse: Search across your entire local archive, chat with one or multiple meetings, or execute reusable templates and skills.

Recommended setup order

1. Complete installation and permissions.
2. Read Choose a transcription model, then test your choice in Settings → Speech.
3. Follow Connect an AI provider if you want automatic summaries and interactive chat.
4. Run a quick 30-second test following Your first meeting before joining an important call.

Local-first architecture and privacy

Your meeting archives, templates, preferences, and search indices are stored in a local SQLite database on your Mac. On-device models keep all processing strictly local. If you opt for an online speech or AI provider, only the audio or context required for that specific operation is transmitted to your chosen provider.
